Checking in Outlook Items using Linked Folders
Using Outlook folders that have been linked to Content Manager Check In Styles, mail items can be easily checked into Content Manager by simply dragging the item from one folder, e.g. your Inbox, to a Linked Folder.
To create, modify or delete Linked Folders in Outlook, see Check In Styles and Linked Folders for details.
If an Outlook folder has been linked to Content Manager, any items that are moved to that linked folder will be automatically checked into Content Manager using the default settings on the Check In Style.
If the Check In Style requires there to be user action, that is, the Check In dialog is displayed, the user will be prompted to complete the Record entry form before the mail item will be checked in.
Clear Backlog
If you have an Outlook folder that already has items within in it, or if you have moved mail items to a Linked Folder while you had no network connection, you can check in the items within that folder that have not already been checked into Content Manager. To do this:
- In Outlook, on the Content Manager tab, in the Tools group, click Check In Styles.
The Check In Styles panel will be displayed.
- On the Check In Styles panel, select the Check In Style that is linked to the Outlook folder that is to be processed.
- Click Clear Backlog.
Content Manager will check in the items that have not already been checked into Content Manager. Depending on the settings of the Check In Style, this will be done either without or with user action.
Clear All Backlog
To clear the backlog in all Linked Folders:
- In Outlook, on the Content Manager tab, in the Tools group, click Check In Styles.
The Check In Styles panel will be displayed.
- Click Clear All Backlogs.
Content Manager will check all items in all Linked Folders that have not already been checked into Content Manager. Depending on the settings of the Check In Style, this will be done either without or with user action.
NOTE: Whenever a new check in process is initiated, it is turned into a job and placed in a jobs queue and each job is processed sequentially. The job queue applies to the following check in methods:
- Moving items into linked folders
- Check In on Send
- Clear Backlog
- Clear All Backlogs
- Check in Attachments
